How it works

  1. Describe what you hire

Create a type for each kind of thing you hire, with its billing period, its tariff and late fee, the meters to read such as fuel or mileage, a condition checklist and the documents a renter must show.

  2. Add the fleet and keep the calendar

Add each item you own under its type. The calendar shows, day by day, what is available, what is out on hire and what is held for maintenance or blocked.

  3. Register the renter

Record a person or company with the documents they have shown, and press Verify once a document has been checked. A renter can be barred, with a reason that stays on their file.

  4. Quote, reserve and hand over

Quote a hire, reserve it, take the deposit and issue the agreement. At hand-over a barred renter or a document nobody has verified is refused.

  5. Check it back in

Record the time, each meter reading and the condition of every checklist line, with a figure for anything damaged or missing. The server adds the late fee and any usage over the allowance to the hire’s charges.

  6. Settle the deposit

Keep part of the deposit against what is still owed and give the rest back, in one step. The charge ledger is never edited: a void writes an opposing line, and both stay readable.

Who it is for

For any business that hires things out by the hour, day, week or month — vehicles, equipment, halls, rooms. The desk takes bookings and hands over, the yard checks items back in, and the owner sets the terms and watches the charges and deposits.

Works with your other apps

With Accounting installed, rent, charges and deposits post to the ledger by themselves. SISC Follow raises hires still out after their due date and damage recorded at check-in that has not been charged.

What you get

  • Fleet

Everything this business hires out, each item added under its type and asked only for the details that type declares — a plate for a van, a capacity for a hall. Whether an item is out right now is read from the calendar, not typed in.

  • Calendar

Day by day, what is available, what is out on hire, what is in for maintenance and what is blocked. Place or release a maintenance window or a block here; a booking leaves the calendar only when it is returned or cancelled.

  • Bookings

The hire from start to finish: quote it, reserve it, take the deposit and hand it over with an agreement. At check-in record the time, the meter readings, the condition of each checklist line and a figure for any damage; the late fee and usage charges are added by the server. Then settle the deposit — keep part, return the rest.

  • Renters

The people and companies who hire from you, with the documents they have shown. Recording a document and verifying it are two separate acts, and a hand-over is refused against a document nobody has verified. Barring a renter needs a reason, and the reason stays on their file.

  • Charges

Every charge on every hire, with a separate account for each party paying — the renter for the rent, an insurer for the damage. Nothing is edited or deleted: a void writes an opposing line and both stay readable. A deposit held is applied here, and an account closes only when its balance is zero.

  • Catalogue

What you hire out and on what terms. Each type — a car, a scaffold tower, a wedding hall — carries its own billing period by the hour, day, week or month, its tariff and late fee, the meters read at hand-over and return, a condition checklist and the documents a renter must show.
